Members who "vanish"

So here is the first item for discussion. The situation is as follows:

- we have a Club member who has essentially "vanished"
- they have not logged onto imutual since August last year
- I have sent them PMs, which will have gone to their email address but have not received any response, thus I have given up trying to contact them
- whilst I don't necessarily see it as a financial problem it does impact all the polls as they have not voted at all during this time

I have a few thoughts about the situation, as follows:

- the member had been active before this point in August
- they have not an insignificant sum of money invested
- I think it would be wrong to "kick them out" as we have no idea what has happened and it is an unusual case
- I don't want "inactive" members to impact polls for active members

My question is what to do about it? I would like to propose a solution to the problem, as follows:

- if members who have been previously active through investing and voting suddenly vanish we put their membership into a state of "hibernation", which will continue until such a point we understand what has happened.
- whilst in this state the member's voting capacity will not be withdrawn, rather I'll not expect to receive their vote and thus shall base any results on the number of members "expected" to vote, who are active.

This isn't going to affect us greatly of course, but I wanted you to know this was the case and that I wanted to have a position on it as it is not something we have had until now.

Just wondering if they are still alive - or injured/sick? Perhaps Richard could try writing?

This is just an idea... All new members should provide a Next of Kin & contact details at time of signing up for membership. Additionally, a catch up exercise carried out for existing members...?

Well I must admit I also had such thoughts. Only Richard has the member's full contact details of course but I guess we can wait and see what happens for a bit longer yet, as it has only been 6 months, in case they have just been otherwise engaged due to whatever.

Perhaps. I wouldn't want anything to be too excessive though, especially as anything like this takes Richard's time away from other things that might be more worthwhile. We'd have to really believe it was necessary to warrant making changes.

I think Richard should write a letter to the person. This would be received by the person or next of kin if the worst has happened. Hopefully life has just got in their way and they say I will respond to this email and then run out of time.

The infamous "phantom investors" as we used to call them back in the day. Maybe they have bigger fish to fry?

In which case:

We can give them the option to:
1. Let the Chairman proxy vote on their behalf.
2. Let them choose to "cancel" their voting rights and they are not included in voting polls.

As they are not contactable and therefore not an option when they have "vanished" this would need to be done on joining, in which case their would need to be a time period stated as to when this situation would arise.
